Executive Assistant to the Executive Office
CARE Canada is currently seeking an Executive Assistant to the Executive Office.
Reporting to the President & CEO of CARE Canada, the Executive Assistant is responsible for supporting the President & CEO and the Chair and Board of Directors (BOD) as Board Secretary and facilitating the effective and efficient day-to-day management of the Executive Office. The Executive Assistant role calls for the incumbent to be a well organized, nimble problem solver with proven experience working at a highly strategic level.
The Executive Assistant will also be responsible for ensuring that the records of the organization are maintained, updated and safeguarded as required by law and made available when required by authorized persons. These records include founding documents, (e.g. letters patent, articles of incorporation, by-laws), lists of directors, board and committee meeting minutes financial reports, and other official records.
Tasks include:
  • Ensure that proper notification is given of directors' and members' meetings as specified in the bylaws, managing the general correspondence of the Board of Directors except for such correspondence assigned to others;
  • Coordinate with Senior Leadership Team (SLT) and assemble all document packages required for all Board-related meetings, ensuring that all pre-established deadlines are met;
  • Record the minutes of all Board meetings as well as the minutes of any committees to which the Secretary is assigned, recording decisions, providing background on those decisions and ensuring that those not in attendance will be able to capture the meeting’s full content;
  • Coordinate with staff to ensure CEO availability, attendance and briefings (as required) for internal and external meetings, appointments and events (including CARE International);
  • Coordinate regular meetings between the Executives and the CEO;
  • Take minutes and monitor and report on action items during scheduled SLT and Senior Management Team (SMT) meetings;
  • Monitor, process and verify all expense and travel claims for the Executive Office and Board of Directors, ensuring complete adherence to the CC travel policy and related directives;
  • Reconcile and process monthly claims and statements for the EO corporate credit cards and telephone accounts;
  • Develop and monitor the budgets for the Executive Office and Board of Directors;
  • Script basic correspondence on behalf of the CEO in response to correspondence received.

You will be successful in this role if:
  • You have recent and substantive administrative experience in an Executive Assistant role
  • You are fluent in both English and French
  • You have superior writing skills in English
  • You like to get creative when planning small-scale events and meetings
  • You are a proficient user of Microsoft Office software (Word, Outlook, PowerPoint, Excel)
  • You are comfortable operating electronic equipment (camera, video recorders, LCD projectors)
  • You have a positive and mature disposition
  • You can and want to get along with everybody
  • You have strong negotiation and conflict resolution skills
