Job Title: Administrative Assistant Road Map to Employment (Arabic)
Status: Full time position (35 hours / week) Contract to March 31, 2018 with possibility of extension

MAJOR RESPONSIBILITIES As part of World Skills Employment Centre, a not-for-profit employment service for newcomers to Canada, the highly organized Administrative Assistant with Arabic will assist two teams with Admin Support.
  • Provide one on one intake, assessment and referral services to clients (This includes all necessary communication and follow up with clients and staff)
  • Enters information into centralized profile tracking system and database. Maintains and keeps both electronic and hard copy files up to date
  • Performs data entry processes into a database & verifies and corrects the data as necessary
  • Contributes and works towards preparing reports, administrative records and other publications
  • Provides admin support such as: logistics, registrations, set up, etc. to workshops and events
  • Posts job postings on website
  • Screens resumes sent for each job and forwards to designated staff and/or employer
  • Participates in staff, team meetings and outreach activities when required
  • Actively contributes to the efficient functioning of the organization

QUALIFICATIONS:
  • Post-secondary education and experience in a related field
  • English and Arabic essential, spoken and written
  • Excellent interpersonal skills with the ability to adapt to a variety of client needs with diplomacy and tact
  • Cross-cultural competency and strong communication skills
  • Superior proficiency with MS Office Suite, specifically Word and Excel
  • Strong time management skills and the ability to prioritize
  • Sensitivity to and understanding of a diverse clientele 
  • Ability to work within a team environment with an attitude of cooperation and helpfulness is essential
  • Solid knowledge of clerical and general office procedures and office software applications.
