Administrative Assistant    (1-year contract-extendable, full-time)
This position reports directly to the Director, Project Development and involves the coordination and administration of project and office activities.
  • General administrative support for a small team of 10 colleagues;
  • Coordinate small internal and external Committee meetings and teleconferences;
  • Coordinate associated travel and hospitality requirements with adherence to Treasury Board guidelines;
  • Process financial wage subsidy claims associated with projects in a timely manner, according to internal processes;
  • Assist with data input using Simply Accounting;
  • Liaise with various BioTalent Canada partners to coordinate project deliverables;
  • Manage contracts with funders and external customers;
  • Monitor appropriate compliance to terms of projects;
  • Provide recommendations to Project Manager on project issues in an ongoing and timely fashion;
  • Maintain positive customer relations and respond to minor problems and basic inquires;
  • Redirect problems outside scope to appropriate individuals;
  • Track details of stakeholder calls for marketing and communications purposes;
  • Perform other duties as requested and as needed in a dynamic work environment.

Knowledge & Skills:
  • Post-secondary education specializing in administration or a relevant discipline;
  • Minimum of 3- years related experience;
  • In-depth knowledge of MS Office software and Simply Accounting;
  • Bilingualism is a definite asset;
  • CRM experience is a definite asset.
  • Oriented towards customer service;
  • Ability to work with minimal supervision;
  • Pay attention to detail and to work as a team member;
  • Ability to work under pressure and to multi-task;
  • Able to focus, lead, be innovative, and maximize quality, be flexible;
  • Possess strong communication skills, respect individuals and embrace teamwork;
  • Excellent sense of humour – affable and easy to work with;
