Job Summary: Provides administrative support to Volunteer and Student Services. 21 hours/week, permanent position - cost-shared extended health/dental benefits, HOOPP (pension) eligibility. Job #2017-0067. Pay range:  $19.781 - $23.377/hour.
 Job Specific Responsibilities
  • Provides administrative and secretarial support to the Program Coordinator, and other volunteer/student staff.
  • Assist with the ongoing communication with program staff about the requirements when requesting and supervising volunteers.
  • Supports Income Tax Clinics, Christmas Exchange, Toy Center, and Snowsuit Fund Program; and assisting with external (Community Houses) and internal recognition events, etc.
        • assemble, and disseminate information booklets to various teams
        • create and update spread sheets, tracking tools, in a timely manner
        • ensure timely and accurate data entry for all Volunteer and Students Services programs
        • create and distribute materials for recognition events
        • support ongoing volunteer activities
        • liaise with various program staff to schedule short term volunteer projects/supports
  • Coordinates all clerical and administrative activities for assigned program area:  prioritizing, development of filing systems, manuals, photocopying and faxing, meeting coordination, updating forms and templates, mail outs, create and distribute promotional materials, development of systems to ensure efficiencies, developing and maintaining active mailing lists for program area.
  • Provides assistance to the Program Coordinator in supporting the human resource functions of the program, including:  completion of documentation, reference checks, update and post position descriptions, file maintenance.
  • Collate feedback from volunteers, students, staff and ITPs to assist in program evaluation.
  • Schedule volunteer, ITP and student appointments in consultation with program staff (eg. screening dates and times, orientations and training sessions, etc.).
  • Respond to general inquiries about placement opportunities.
  • Prepares general correspondence and other documents as assigned.
  • Enter, organize and maintain program database/tracking systems ensuring timely and accurate data entry as it relates to specific services and programs.
  • Organize and maintain communication display boards within the centre for volunteers and staff.
  • Provides day to day support to Volunteer and Student Program staff regarding computer software applications and electronic filing.
  • Provides back-up support to the General Receptionist as required.
  • Performs other related duties as assigned.

  • Secondary school diploma and post secondary training in office administration or related program or equivalent combination of experience and education.
  • Experience in a community health care setting an asset.
  • Organization skills and strong attention to detail.
  •  A minimum of three years administrative support experience.
  • Experience dealing with the public.
  • Proficient in computer based software applications.
  • Fluency in English, ability to speak French an asset.
