Exam Logistics Administrator

Position Summary
Under the direction of Team Lead, Exam Logistics, the Exam Logistics Administrator is responsible for providing advice and support to the overall planning and execution of examinations from a global perspective, as well as providing guidance and direction to staff and contract employees.
You will be responsible for planning the high level requirements of individual examinations while considering the global implications of competing requirements of multiple concurrent exams.  Using your analytical and organizational skills, you will collect and synthesize data from previous exams from various sources to determine new requirements, changes and to make recommendations to Exam Chairs.
Determining the optimal flow of the exam from a logistics, candidate and examiner perspective, you will produce high level “working overviews”  taking into consideration the number of circuits required, the number of candidates, movement between stations and buildings, the timing of the circuits and sequencing of events.
In addition to providing expert advice and assistance to Examination Chairs and Managers, you will be the primary point of contact for Examinations Coordinators.  Along with training new Examinations Coordinators, you will provide support to Examinations Coordinators in the logistics, planning and delivery phases of exams.  With a visible presence on the exam floor, you will provide expert advice and on-site troubleshooting and support during live exams to ensure continuity and to mitigate risks.
You will coordinate and recommend temporary staff requirements for exams, participate in recruitment activities, prepare and manage complex staff schedules, and prepare and lead orientation sessions. In collaboration with the Team Lead and Master Scheduler you will make recommendations for the examinations calendar.
Work locations include the Royal College headquarters as well as La Cité (Aviation Parkway) in May and June during spring exams.  You will act as an Examinations Coordinator for some exams, as required.  Overtime is required during weekdays and some weekends during the examination period.
You come to us with:
  • Diploma or Degree in Business Administration, Meeting and Event Planning, related field or equivalent experience.
  • Five years of directly related experience in a medical or educational environment or event planning.
  • Experience providing coaching, guidance and direction to others regarding day-to-day duties and responsibilities and overall workflow.
  • An ability to use good judgement, influencing and decision making skills to troubleshoot issues in a fast-paced environment.
  • Intermediate computer skills in MS Office.
  • High level of motivation and an ability to observe deadlines and manage priorities.
  • Demonstrated time management and problem solving skills.
  • Ability to work independently and as a member of team.
  • Strong written and verbal communication skills in English and French.
  • Experience with event management software such as USI and Smart Draw software would be considered an asset.
