POSITION PURPOSE:
World Skills Employment Centre, a not-for-profit employment service for new Canadians, is seeking a highly organized individual to provide seamless service delivery for clients as Receptionist/ Administrative Assistant. Reporting directly to the Manager, HR & Volunteer Services, this position is critical to the effective functioning of the World Skills office and its programs. The successful candidate will demonstrate personal commitment to, and understanding of, World Skills’ mission, vision, values and participant outcomes.

DUTIES AND RESPONSIBILITIES:
 Serves as the initial point of contact for all clients and other visitors to World Skills main office
 Receives and directs telephone calls, and email communications
 Schedules new and repeat clients for needs assessment appointments with an assessor
 Creates new client records on World Skills’ GoldMine database, when the appointment is booked
 Answers enquiries and provides information on a variety of issues related to World Skills’ programs and services
 Liaises with service providers, partner organizations and other stakeholders and staff in support of office management duties
 Initiates, coordinates and/or supports office management projects such as:
1. Keeping equipment, supply and key inventories
2. Ordering office supplies and stationery
3. Updating staff lists and maintaining mail area
4. Coordinating service provision (water supply, printer/photocopiers, etc.)
5. Conducting monthly copier readings
 Ensures all common areas in the office including reception are neat and orderly
 Provides both administrative and program support on an as-needed basis

QUALIFICATIONS AND COMPETENCIES:
 Completion of a degree, diploma or certificate in a related field plus 2 years’ experience in a similar position (either paid or volunteer)
 Superior customer service skills
 Solid knowledge of clerical and general office procedures and office software applications
 Strong time management skills and the ability to prioritize
 Sensitivity to and understanding of a diverse clientele
 Ability to work within a team environment where an attitude of cooperation and helpfulness is essential
 Excellent interpersonal, communication and writing skills
 Proven flexibility, adaptability, initiative and resourcefulness
 Experience with MS office software and database applications
 Experience in working with newcomers and immigrants as well as members of the business community is an asset
 Fluency in both English and French (oral and written) is essential
